IMPORTANT: The Calgary TELUS Convention Centre does NOT offer shipping directly. All shipping must be arranged with ST. GEORGE SHOW SERVICES INC. If a shipment arrives prior or on load in day at the Calgary TELUS Convention Centre that has not been pre-arranged with St. George, it will not be accepted.

Pre-shipping to Calgary Telus Convention Centre via St. George Show Service Inc.
Shipments are accepted from three (3) business days prior to the exhibitor move in date of Friday, April 27, 2018. Shipments will not be accepted before three (3) days prior to move in date unless prior arrangements have been made with St. George. All orders must be accompanied by a bill of lading indicating the number of pieces, and must be clearly marked with a label. A label template has been created for you and is available in the online Exhibitor Guide.

St. George Materials Handling Order Form

Parking

Show parking for exhibitors is available at the City of Calgary public lot #60 located at 727 1st Street SE, Calgary, AB by the Calgary TELUS Convention Centre.  Access to the parking lot is available 24 hours a day/7 days a week.  Please review the Parking Pass Form for rates and parking guidelines.

Truck Parking

No truck parking is permitted in the loading dock area of the Calgary TELUS Convention Centre.

 

Electrical

Booth electrical is NOT included for CCA 2018 Tradeshow Exhibitors. To order electrical service for your booth please complete this form: Electrical Order Form

Booth Furnishings

Furnishings are NOT included in your booth for CCA 2018 Tradeshow Exhibitors. To place an order, please complete this form:  Furnishings Order Form

Additional Carpet Order Form

Existing carpet in the MacLeod Hall and basic garbage removal from your booth is included in the cost of the booth purchase.  If you wish to purchase additional carpet, please refer to the Carpet Order Form. The existing booth and aisle carpet will be vacuumed by the venue prior to the start of the tradeshow at 4:00 PM on Friday, April 27, 2018.

Exhibitor Food and Beverage Restrictions

All food and beverage provided by exhibitors in their booths is the sole responsibility of the Calgary TELUS Convention Centre and their exclusive caterer Marriott Calgary Downtown Hotel. No outside food or beverage may be brought in to the tradeshow floor. Any food and beverage give-aways by exhibitors should be confirmed by completing the Exhibitor Catering Order Form.

Storage

There is no additional storage available for exhibitors in the MacLeod Hall.  All items must be housed in your purchased booth(s).

Garbage Removal

Basic garbage removal from your booth is included in the cost of the booth purchase. If you leave behind garbage in your booth that is deemed to be an “excessive” amount by the venue, additional cleaning fees of $450.00 plus taxes will apply.

Fire Regulations

All exhibitors must adhere to municipal fire regulations. Please refer to the Fire Regulations outlined in the Calgary TELUS Convention Centre Building Regulations for Exhibitors.

Customs Brokers

Exhibitors who are shipping goods to the event from outside Canada are responsible for arranging their own customs brokers. The Calgary TELUS Convention Centre works with Davidson & Sons Customs Brokers. Please refer to the Davidson & Sons Customs & Transportation Services order form, and contact Linda Vandop at 403-605-1822 or lindavandop@davidsonandsons.com for more information.

Tear Down

Exhibits must be removed immediately as per the contract when the Tradeshow hours end. Exhibitors must remove their exhibits from the tradeshow floor by 6:00 pm on Saturday, April 28 or have made prior arrangements with St. George to handle your shipping. Any materials left in your booth after this time will be considered forced freight and charges will apply to have it removed and stored.

Friday April 27, 2018 (4:00-6:00 pm and 8:00-10:00 pm)
Saturday April 28, 2018 (9:45-10:45 am, 12:10-2:00 pm)

Exhibitor Food and Beverage

The pre-arranged food and beverage for attendees is also available for two exhibitor representatives per 10×10 booth during exhibit show times. Exhibitors are welcome and encouraged to network and dine with attendees during these show times.

Exhibitor Booth Details

Booth Layout

Exhibitors are not permitted to alter the placement or direction of the pipe and drape provided. The front of the booth is to face row/aisle only.

Booths consist of 10’ x 10’ draped booth. The booth has an 8’ high rear drape and 3’ high side drapes.

Booth Regulations: Maximum height for all booths and signage is 8’. All construction is restricted to a height of 48” in the front 5’ of the booth and 8’ in the rear 5’. Exhibits must be confined to the exact space allocated. No exhibit will be permitted which interferes with the exhibit of other exhibitors or obstructs the visibility of other exhibits. Where an exhibitor’s display is built beyond limitations, the CCA will have the exhibitor alter, remove or rearrange any or all of the display so that it complies with the regulations or, if the exhibitor is not available, to make such corrections at the exhibitor’s expense.

Booth Set-Up

Exhibits must not hinder or obstruct any fire equipment, emergency exits, display signage, windows or doors. Exhibits may only be installed in the designated licensed area as laid out in the event floor plan.

Exhibitors are required to bring their own tools, ladders, brooms, dollies and other required items to erect their exhibits. All labour requirements for the set-up and tear-down are the responsibility of the exhibitor.

Set-Up/Tear-Down

When you arrive on-site:
All exhibitors that will be delivering material for the show must off-load their vehicles at the Loading Dock. The Loading Docks are located at 705-1st Street S.E. Calgary, AB, T2G 2G9. There are four deep docks, and all are equipped with electric dock levelers.

A generic shipping label can be downloaded here. The loading dock can accommodate 53’ highway tractor trailers.  Exhibitors who are looking to move in oversize pieces or equipment over 5000 lbs must contact the St. George office at least 14 days prior to move-in to make prior arrangements.

Parking is prohibited in this area. Only vehicles unloading and loading equipment are allowed. Vehicles violating these regulations will be towed away at the owner’s expense.

Please see the St. George Materials Handling Order Form to make your arrangements. Exhibits must be removed immediately as per contract when the tradeshow is finished.

Insurance

The exhibitor is responsible for the placement and cost of insurance relating to its participation in the show. The exhibitor shall carry liability insurance of $2 million, as well as such additional insurance as may be required by the CCA and/or the Calgary TELUS Convention Centre. The exhibitor MUST display the insurance certificate/letter in a prominent area in the booth, for a walk-through inspection between 2:00 and 3:00 pm on Friday, April 27. If the exhibitor fails to comply with any of the foregoing, in addition to any other rights or remedies available to the CCA at law or under this contract, the CCA shall have the right to take possession of the display space for such purposes as it sees fit and the exhibitor will be held liable for the full contract price for the said space.

Representatives

Exhibitors are allowed ONLY 2 representatives at the booth at any one time. Representatives are permitted to sit in on lectures only if seating permits. Please note, only registered delegates will be able to earn CE credits.

To add or change representative names, visit the Exhibitor Registration site and click ‘Register Now’. Select ‘View or Change Your Existing Registration’ and use the same email address that you registered with to log in and update your representatives.

Continuing Education Credits

Only registered delegates will receive CE credits.

Booth Sharing And Booth Representatives

Companies are permitted to share a booth, however, the CCA does not organize booth sharing. Where a booth is shared, both companies must be named when registering and the standard conditions apply (i.e., only two people per booth per day). **THE CCA WILL REFUSE ENTRY TO A COMPANY WHOSE NAME IS NOT ON A REGISTRATION FORM.**

Transfer Policy

If you must change your plans after reserving a booth, you may transfer your registration to another company with the approval of the CCA. If you are transferring a registration, you must ensure that the replacement company agrees to the TERMS AND CONDITIONS OF CONTRACT BETWEEN EXHIBITOR AND CCA. If a transfer notification is received after March 27, the replacement company’s information may not be reflected in the program or other Convention promotional materials.

Cancellation Policy

Once registration is completed and payment has been processed, the registration fee(s) are subject to the following cancellation policy:

  • Cancellation of registration 180 days or more prior to convention: 50% of the paid registration fee will be retained by the CCA
  • Cancellation of registration from 179 until 30 days prior to convention: 75% of the paid registration fee will be retained by the CCA
  • Cancellation of registration within 29 days from the event start date (April 27, 2018): 100% of the paid registration fee will be retained by the CCA

Multi-Level Marketing Organizations

Registrations from multi-level marketing (MLM) organizations are not accepted.

Media

All public relations and media-related activities occurring on the exhibitor floor must be pre-approved by the CCA. No press may enter the exhibit floor without a badge.

Exhibitor Lead Retrieval

CCA Show Management has collaborated with CVENT to offer exhibitors assistance with their onsite Lead Retrieval. CVENT’s LeadCapture is an app-based solution allowing exhibitors to connect with potential buyers.

Exhibitors can:

  • Capture and rate leads instantly through the simple application interface
  • Rent handheld scanners or download the Android or iOS app to their own device (Android/iOS)
  • Collect custom info to identify qualified buyers
  • Export leads on demand
